This policy explains what information PlayCut handles, why we handle it, who we share it with, and what choices you have when using our athlete film-editing service.

This Privacy Policy explains how PlayCut collects, uses, shares, and protects personal information when you visit our website, contact us, request editing services, submit footage, or otherwise interact with PlayCut.

Because our service may involve youth athletes, this policy also applies to information submitted by parents, guardians, coaches, clubs, and other authorized representatives acting on an athlete's behalf.

2. Information we collect

The information we collect depends on how you interact with us. We may collect information directly from you, automatically from your device, and from service providers that help us operate PlayCut.

  • Contact details such as your name, email address, phone number, team, school, club, or organization.
  • Athlete and project details such as sport, position, graduation year, recruiting goals, editing instructions, and delivery preferences.
  • Uploaded content such as video footage, images, logos, notes, timestamps, and other material you provide for editing.
  • Transaction and billing details, which may include payment status and limited billing metadata from our payment processor.
  • Technical and usage data such as browser type, device information, IP address, page views, and interactions with our website or service workflows.

3. How we use information

We use personal information to operate, deliver, improve, and protect PlayCut. We only use information where we have a valid reason to do so, including to provide the service you requested, communicate with you, comply with legal obligations, or support our legitimate business operations.

  • To review requests, manage projects, edit footage, deliver finished files, and provide revisions.
  • To develop, train, test, fine-tune, and improve AI-assisted editing tools, internal machine-learning systems, and vendor-supported automation features used in our workflow.
  • To communicate about quotes, orders, deadlines, support, and service updates.
  • To process payments, prevent fraud, and maintain records of transactions.
  • To improve quality, troubleshoot problems, monitor performance, and understand how people use the site.
  • To enforce our terms, protect PlayCut, and comply with legal or regulatory requirements.

4. Footage, athlete data, and minors

PlayCut often processes footage and athlete information provided for recruiting, scouting, or showcase purposes. You should only send us footage and personal details if you are authorized to do so.

If the athlete is under the age of majority where they live, submissions should be made by a parent, guardian, coach, club representative, or another person who has authority to share the information. We do not knowingly request personal information from minors without appropriate authorization.

5. How we share information

We do not sell personal information. We share information only when necessary to run PlayCut, complete a request, or comply with legal obligations.

  • With vendors and service providers that help us host the site, store files, process payments, send communications, authenticate users, analyze site performance, or support approved AI and automation workflows.
  • With contractors or collaborators who help fulfill editing or support work, but only under confidentiality and need-to-know conditions.
  • With legal authorities, regulators, or advisors when required by law or when needed to protect rights, safety, or the integrity of the service.
  • In connection with a merger, acquisition, financing, or sale of all or part of our business, subject to appropriate confidentiality safeguards.

6. AI training and model improvement

Unless we agree otherwise in writing, PlayCut may use submitted footage, project instructions, metadata, and related materials to train, evaluate, and improve AI-assisted systems used in our editing and operational workflow. That may include use by trusted vendors that provide AI or machine-learning infrastructure on our behalf.

Where practical, we may de-identify or minimize personal information before using materials for model-improvement purposes, but some training or evaluation workflows may still involve the original submitted content. If you need a stricter restriction on AI-training use for a project, contact us before submitting the material.

7. Retention

We keep information for as long as reasonably necessary to provide the service, maintain business records, resolve disputes, enforce agreements, and meet legal obligations. Retention periods may differ depending on the type of information and the reason it was collected.

Uploaded project files and finished deliverables may be deleted or archived after a project closes, so you should download and store final files promptly once they are delivered.

8. Your choices and rights

Depending on where you live, you may have the right to request access to, correction of, deletion of, or information about the personal data we hold about you. You may also have the right to withdraw consent where consent is the legal basis for processing.

To make a privacy request, email help@playcut.com. We may need to verify your identity and authority before acting on a request, especially where athlete footage or sensitive project content is involved.

9. Security

We use reasonable administrative, technical, and organizational safeguards designed to protect personal information. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

You also play a role in protecting your information. Keep account credentials secure, use trusted upload sources, and avoid sending information you are not authorized to share.

10. International processing

PlayCut and the vendors we use may process or store information in different jurisdictions, including jurisdictions outside your home country or province. Those jurisdictions may have privacy laws that differ from the laws where you live.

When we use third-party providers, we take reasonable steps to require appropriate handling of information consistent with this policy and applicable law.

11. Changes to this policy and contact

We may update this Privacy Policy from time to time to reflect operational, legal, or service changes. When we do, we will revise the effective date shown on this page.
